Introduction

Welcome to L’Oréal USA’s Giving Fund toolkit! L’Oréal USA is the largest subsidiary of the L’Oréal Group, the world’s leading beauty company. L’Oréal USA has partnered with GlobalGiving as their grantmaker, allowing GlobalGiving to contribute and connect with local nonprofits working in line with the philanthropic objectives of L’Oréal USA brands and divisions.

As L’Oréal USA’s grantmaking partner, GlobalGiving, makes and manages grants in line with the programmatic objectives of each participating L’Oréal USA brand, division and/or metier, from start to finish.

This toolkit is a resource to help you navigate the GlobalGiving grant process throughout the L’Oréal USA Giving Fund grant program.

GlobalGiving is a nonprofit that supports other nonprofits by connecting them to donors and companies. Since 2002, we’ve helped trusted, community-led organizations from Afghanistan to Zimbabwe (and hundreds of places in between) access the tools, training, and support they need to make our world a better place.   • Individual donors – We make it safe, easy, and fun for anyone to give to vetted nonprofits globally.
  • Community leaders – Nonprofits anywhere in the world can apply to join GlobalGiving to create fundraising pages and access tools, training, one-on-one support, and fundraising campaigns. GlobalGiving also works with individuals and for-profits who are leaders in their community. We work to support their efforts through grant programs, like L’Oréal USA’s Giving Fund.
  • Corporate partners – We offer tools and specialized solutions to help companies enhance their corporate giving strategy, empower their stakeholders, and support high-impact projects around the world.

GlobalGiving, as a grantmaker, practices flexible grantmaking to fit specific programmatic needs of community leaders. We manage our own funds to support community-led work, and we partner with companies like L’Oréal USA to manage grant programs of every shape and size.

How We Will Work Together

Our partnership with L’Oréal USA. L’Oréal USA has partnered with GlobalGiving to manage all brand, division and/or metier’s non-Brand cause grantmaking. L’Oréal USA and its brand/vision programs will offer grants of all sizes to support its non-Brand Cause philanthropic giving, across the board.

We’ll welcome you to GlobalGiving (GG) Grants. GG Grants is an online platform designed to help you manage your program’s grants. GG Grants allows you to manage your entire grant cycle online, in one place.

We’ll vet your organization’s eligibility. Every grantee is vetted by the GlobalGiving Vetting team, through a process called Due Diligence. GlobalGiving’s Due Diligence application process is facilitated completely online.

We’ll manage your grants. The GlobalGiving team is responsible for ensuring your grant funds will support a charitable purpose. We’ll support you through the entirety of your grant cycle(s) from onboarding to the Final Report stage. You’ll have a dedicated Partnership Manager supporting you through every step of the way!

 

GG Grants

GlobalGiving aims to be an effective and transparent grantmaker through our online grant management system, GG Grants. The online system gives real-time updates allowing GlobalGiving staff and our corporate partners to easily refer, track, and view key documents throughout the grant process.

Accessing Your GG Grants Dashboard

To log into your GlobalGiving account and access GG Grants, follow the steps below:

To access GG Grants, you can either bookmark this link or click “Grants” under the dropdown menu at the top right of the website (see below).

 

The Grants Process

GlobalGiving frames its grant cycle in the steps listed below. Here is a short document that all grantees will receive upon their invitation.

GlobalGiving operates two types of grant programs in partnership with L’Oréal USA: 1), project-based and 2) general operating support. You will make the distinction between the two during the referral process. Project-based grants will require grantees to submit full proposals as well as reports. General operating support grants will have minimal proposal and reporting requirements. General operating support grants may be designated to specific programing if desired. More details are below.

 

Referring A Grant

Here is a tutorial video showing how to invite a new grantee. Written steps are below.

  1. Choose “Invite New Grantee” under the corresponding grant program.
  2. Enter the referred organization’s name, country, and contact information. Note: When entering the organization, pause for a moment to check whether the organization is already in our system. If the referral matches an organization already in our system, a drop-down menu will appear beneath this box. Choose the matching organization from this menu. You may replace the auto-filled contact information as needed.
  3. Respond “Yes” to the question, “Do you have a grant amount or a proposal associated with the referred organization?”
  4. Enter the grant amount, project title, project description, and project location. For general operating support grants, make this designation in the project description field. If you would like the funds to go to a specific project or program, list it here. For example: General Operating Support for Girls STEM Education Efforts.
  5. Click “Submit” which notifies GlobalGiving staff and the grantee of the invitation.

 

The Review and Award Process

After the grant has been referred to GlobalGiving, the organization may be prompted to complete a due diligence application and/or provide additional information about the proposed project (if applicable). It is important to note that GlobalGiving grantees must have active due diligence at the time of the award and must renew their due diligence every two years. Here is the due diligence guide that grantees will receive with their invitation. Below is the communications schedule explaining the frequency grantees will hear from GlobalGiving during their due diligence application process.

Once the referred grantee’s due diligence and proposal have been approved, GlobalGiving’s Grant Management Team will begin drafting the organization’s grant agreement. Before the drafted grant agreement can be shared with the grantee, you will need to formally recommend the grant. This is a critical step in the award process, as it allows Corporate Partners to double check that the agreement meets its expectations.

 

Recommending a Grant

Here is a tutorial video showing how to recommend a grant for an award. Written instructions are below.

You will know a grant agreement is ready for recommendation because you will receive an email. Additionally an alert will appear at the top of your GG Grants dashboard when a grant is ready to recommend.

To formally recommend the grant, follow the below steps:

  1. Click the “Recommend Grants” banner at the top of your grants dashboard.
  2. Click the link that reads “Submitted” on each grant record. This will take you directly to the grant agreement for approval.
  3. Review the grant agreement terms to confirm that they match your expectations. Note that the grant manager might leave a comment at the top of the page offering additional information or context.
  4. If desired, you can preview the full grant agreement text by clicking “Preview the Grant Agreement” or “Preview the Grant Agreement as PDF” towards the bottom of the page.
  5. Lastly, either “Recommend Grant” or “Reject” the grant agreement.a. By clicking the “Recommend Grant” button, you indicate that the agreement meets your expectations and can be shared with the grantee for award. Upon clicking this button, the agreement will be shared with the grantee.b. If you would like to request an adjustment to the agreement, you can do so by clicking the “Reject” button and leaving a comment explaining what you would like to see adjusted. Once any adjustments are made, the edited agreement will be returned to you for your recommendation.

 

Maintaining Compliance and Best Practices

Working with an intermediary grantmaker may be new for you. We want to help ensure you have all the information you need. Please refer to this guide on best practices to maintain compliance.

Talking to grantees before nomination

GlobalGiving honors the past relationships L’Oréal USA and its brands have built with its nonprofit partners to date. It is essential, however, that GlobalGiving funds are never promised, either internally or externally, before GlobalGiving funds are awarded. For more information on ways to discuss our partnership, please see the “Public Acknowledgement of Funding” section, below.

Our partnership is a story worth sharing! Many options are available when it comes to sharing your partnership story. When it comes to sharing the news of a grant made through GlobalGiving, we suggest a people-centered approach, with an emphasis on storytelling.

Public Acknowledgement of Funding

When publicly sharing about a specific grant(s) made through GlobalGiving, both funding partners and grantees should use language that correctly describes GlobalGiving’s grantmaking role in their public acknowledgments of funding. It is important that attribution of funding accurately reflects how the grant was made in order to avoid the perception of earmarking. Earmarking is an agreement, whether written or oral, that funds will be re-granted by GlobalGiving to a particular beneficiary.

This ensures your charitable contributions are aligned with philanthropic best practices. Having GlobalGiving as a trusted partner ensures that you can speak about your brand’s impact with confidence. As you share the story of your partnership, you are welcome to use the following examples:

  • [Your Brand Name] is supporting [Grantee Name] efforts to [insert your goal, such
    as advance girls’ STEM education in underserved communities throughout Johannesburg].
  • The purpose of the [Your Initiative Name] is to contribute to the [insert your goal, such as

Q: Why is L’Oréal USA working with GlobalGiving as their grantmaker?

A: GlobalGiving provides comprehensive grants management for L’Oréal USA. Q: Why isn’t L’Oréal USA working with grantees directly?

A: L’Oréal USA has partnered with GlobalGiving to manage all grantmaking activity across brands, divisions and métiers. GlobalGiving is an experienced grantmaking institution, supporting donors, nonprofits and grantees around the world for more than 20 years.

Grants Process and Using GG Grants

Q: I am experiencing difficulty with GG Grants or I do not remember the next step to take. What do I do?

A: If your question cannot be answered on this page, please email us at lorealusa@globalgiving.org with any questions and we will be happy to help!

Q: How long do nonprofit partners have to submit the application?

A: We ask that nonprofit partners complete their application within two weeks of receiving the initial invitation to apply. However, grantees can reach out to GlobalGiving if they need more time. Once they submit their application, GlobalGiving will review the organization’s materials and coordinate with the nonprofit directly on any questions. They will receive an email confirming their application’s approval, once approved.

Q: Who should I reach out to if I have questions about the application process?

Q: Will the information nonprofit partners submit through due diligence be made visible to L’Oréal USA?

A: Documents and application materials are kept confidential between the applicant and GlobalGiving and will not be shared with L’Oréal USA.

Q: What happens once the due diligence process is complete?

A: Once an organization’s due diligence is approved, they will receive a notification email that they are now eligible to receive funding. For general operating support grants, the GlobalGiving team will begin drafting a grant agreement to send back to the brand or division representative to recommend the grantee for the award.

Q: Our referred nonprofit partner needs help with their due diligence application. What should I do?

A: Should a potential grantee have any questions as they go through the due diligence process, please encourage them to refer to the due diligence guide and reach out to our Vetting Team with questions by emailing applications@globalgiving.org.

 

Communications about the Partnership

Q: A grantee reaches out to me asking to change their project or request an extension on their spending, what do I do?

A: For any questions that arise after you have referred a grantee, please redirect all questions to GlobalGiving. For GlobalGiving to maintain our role as an intermediary, we must approve any changes to projects including timeline or budgets. Grantees can email us at any time at grants+loreal@globalgiving.org.

Glossary of Terms

Status Definitions

Due Diligence Statuses

  • New: Grantee has not started due diligence or created a GlobalGiving account
  • Started: Grantee has entered some information but due diligence is not yet complete
  • Awaiting Docs: This means that the grantee submitted their due diligence, but the application was returned for edits.
  • Incomplete: This means that the grantee has been inactive with their application for two weeks. They can still access their application and continue when they are ready.
  • Submitted: Grantee submitted due diligence and the application is pending GlobalGiving review
  • First Round Resubmitted: The grantee edited their application and resubmitted it.
  • Final Review: This means that the application is being reviewed by one of our senior vetting team members before approval.
  • Approved: Grantee has been vetted by GlobalGiving either through regular due diligence or Expenditure Review
  • Expired: Due diligence renewal is required

Proposal Statuses

  • New: Grantee must complete proposal form
  • Under Review: GlobalGiving has received proposal submission and is reviewing the request
  • Revision Required: GlobalGiving requires additional information from the grantee to define terms of the grant award
  • Approved: Proposal details have been approved for award
  • Not Approved: Grant is no longer under consideration

Agreement Statuses

  • Awaiting Signature: Grantee has been notified that an e-signature is required
  • Awaiting countersignature: Grantee agrees with award terms and has signed the agreement. Globalgiving still needs to countersign.
  • Countersigned: GlobalGiving has signed the agreement and the grant is ready for payment
