Executive Assistant to the CEO

GlobalGiving is looking for an experienced Executive Assistant to join our team. A successful candidate will have 5-10 years of experience in a similar role, bring structure and new ideas that will enhance our organization, help build a positive team environment, and establish working relationships across the organization.

You will be responsible for daily support of the CEO, light admin support for 1-2 additional E-team members, and office management and administrative duties. This role will manage the smooth functioning of the CEO’s “office,” ensuring that they are able to meet all internal and external obligations in a timely and seamless way. You will be representing GlobalGiving leadership in a way that reflects our organizational values, branding and voice.

Primary Responsibilities

  • Executive Support:
    • Support the CEO and provide light admin support for up to two additional executives.
    • Manage the CEO’s calendar and engagement with the leadership team, prioritize time allocation, plan and organize meetings and events, and coordinate domestic and international travel (travel logistics including making reservations for flights, hotels, and transportation).
    • Support our Board of Directors by managing their contact information, ensuring required forms are completed on time, scheduling meetings and managing meeting logistics, and supporting the preparation and distribution of materials.
    • Support communications and notetaking to help the CEO maintain and build relationships with GlobalGiving to key stakeholders, e.g., support calls, video meetings, in-person meetings, and written communications such as physical letters and emails;
    • Work collaboratively with the CEO on communications and document creation, including meticulously managing style and formatting, proofreading, and light editing;
    • Organize internal and external meetings, including notifying attendees, reserving conference rooms, drafting and distributing agendas, tasking out briefing documents, and taking notes;
    • Work with the VP of Strategy & Talent and other leaders to send regular communications to key stakeholders, including GlobalGiving’s board, donors, and the CEO’s colleagues at peer institutions;
    • Track and reconcile monthly credit card statements and complete and submit expense reports in a timely manner.
  • Office Management & Administration:
    • Support office management tasks and administration in coordination with the HR team and as needed (e.g., for PTO coverage or for major events).
    • Support staff-wide events and CEO and Senior leadership participation in them, including GlobalGiving staff meetings as well as special events and team-building activities.

Required Qualifications

For our team to be a great fit for you, the following qualifications should resonate with you:

  • A minimum of five years' applicable work experience (previous administrative experience preferred)
  • The ability to communicate ideas effectively, to listen to others' ideas, and to collaborate to arrive at great solutions.
  • Excellent written and interpersonal communication skills
  • Demonstrated strong organizational and time management skills.
  • Demonstrated ability to multi-task in a fast-paced environment, great productivity, detail orientation.
  • Strong operational orientation, project management skill, and focus on quality customer service with GlobalGiving staff, vendors, and partners.
  • Superior MS Office and Google Workspace skills required, including a deep understanding of formatting tools in Google and Microsoft applications
  • Experience with Zoom, Slack, Salesforce, Atlassian Suite, Adobe Creative Suite, or other tools is a plus
  • Ability to interact with senior-level individuals and partners and build and maintain relationships
  • A passionate belief in the mission of GlobalGiving and a commitment to our core values.

Preferred Qualifications

In addition, the ideal candidate would also have some or all of the following qualifications:

  • Experience working and coordinating with external stakeholders within and outside the U.S.
  • Skills in developing presentations in Google Slides or PowerPoint; ability to act as a thought partner on content for CEO communications.

Salary + Benefits

Starting salary range: $65k to $72k

Location

This is a full-time position reporting to the VP of Strategy & Talent and based in GlobalGiving’s headquarters in Washington, D.C., with opportunities to telework.

Applicants must reside in the United States. Applicants must be able to demonstrate that they have legal authorization to work in the United States for the duration of this permanent position. GlobalGiving does not sponsor employment visas.
